The challenge in shift planning is not only to make the plan work – because it usually succeeded in the end. But the path to the finished shift plan could be made a little easier – and the quality of the plan could perhaps be better.

Shift planning = Excel ?

This simple equation was true for a long time when Excel simplified the planning process compared to manual creation and organization. In many places, Excel is still used for shift planning. In this article I will show you the benefits of switching your shift planning to online tools such as PDC Plan.

There were times when there was no way around Excel shift planning. After all, creating rosters by hand takes a significant amount of effort. Excel is versatile in its options, but at the same time bulky and difficult to use. It’s easy to lose track of the spreadsheets, and fixing a mistake or a careless command can ruin hours of work.

Calculating working hours from the various tables without error is an art form in itself. And the concentration and attention it requires can certainly be spent more profitably elsewhere.

Optimize your shift planning

With Excel, the planner must have all the rules and standards in his head. PDC Plan offers an efficient all-in-one solution with built-in rules and standards that guide you through the planning process: from personnel planning to detailed registration of absences and working hours, vacation planning, etc.

So while you have to search for and compare different columns in Excel, PDC Plan presents everything in a clear and concise manner.

You can create a new shift schedule with just a few clicks. Adding up working hours is over, and an automated system simplifies the organization of shifts. Any planning errors are also quickly revealed, whereas they have to be identified in Excel.

Save time thanks to online tools

When comparing the usability of the two tools, Excel versus PDC Plan, it quickly becomes clear: PDC Plan offers an intuitive user interface and thus significantly reduces the workload. In PDC Plan, you have everything at a glance – the employees, the individual shifts, the added hours, unoccupied shifts and overlaps. It all works across all devices, be it PC, tablet or smartphone!

Participation makes employees happy

In PDC Plan, employees can be involved in shift planning right from the start via individual employee wishes for work and freedom.
Other popular features of PDC Plan are the possibility of exchanging shifts between colleagues with the same qualifications and the option to independently apply for open shifts. The process always remains clear and transparent to all involved.

Automated shift planning

Long-term planning is a double-edged sword. On the one hand, it benefits everyone involved, as it makes it possible to better balance work and leisure. On the other hand, it involves time risks, as any change must be incorporated into the plan. Making a monthly plan with Excel can be a Sisyphean task.

It requires a lot of time and a very focused way of working in order not to lose the overview. With PDC Plan, planning is automated and significantly simplified. If an absence results in changes to the shift schedule, these can be quickly and easily communicated to all relevant employees via push messages.

Editing the schedule, printing and sending manually, time-consuming telephone consultations and mountains of paper applications are now a thing of the past. It saves everyone involved a lot of time.
