Employee App for Roster Planning

MyPlan
Employee App for Roster Planning

MyPlan is an employee app for roster planning and serves as the employee’s gateway to the PDC StaffPlan shift planning system.

In addition, MyPlan makes it easy for employees to participate in the planning process and influence their work schedules. They can submit preferences for duties and time off. Furthermore, they can give away shifts or swap them with colleagues once planners publish the roster.

Moreover, employees can register working hours, view current and previous schedules, and access Time Sheet Totals. This includes additional hours, accrued leave, settled time off, and vacation balances.

MyPlan also integrates with calendars such as Outlook and Google. At the same time, employees can communicate directly with colleagues and planners through the app. Planners can also send messages to selected employee groups.

Improves Schedule Acceptance and Reduces Absence – As a result, employees gain greater visibility and influence over their working lives. They are more likely to accept schedules and assigned shifts. In turn, organisations benefit from higher engagement, fewer complaints, and lower sickness-related absence.

Consequently, managers spend less time dealing with staffing gaps and schedule-related issues. Clear visibility of employee availability reduces shift swaps, eliminates informal communication channels, and prevents misunderstandings about work schedules.

Why Adding an Employee App for Roster Planning?

Without clear communication, even the best roster plan can create misunderstandings, staffing gaps, and employee dissatisfaction.

Therefore, PDC developed MyPlan. The app transforms roster communication from a static, one-way process into a dynamic, interactive, and transparent workflow.

“MyPlan is fantastic for our business. Employee involvement saves a lot of time and administration. We need to meet our employees where they are, and this includes having a mobile solution”

MyPlan allows employees to submit requests and preferences for shifts, absences, availabilities, tasks, and activities. These requests are linked to the work plan and are normally consolidated into the master plan for later planner approval, which gives planners better input before making final roster decisions

Roster changes happen for many reasons, including absences, last-minute demand shifts, and operational adjustments. Therefore, MyPlan delivers critical updates instantly to staff. This reduces miscommunication and prevents missed shifts. Notifications keep employees informed without delay.

In addition, planners and staff communicate more easily through mobile phones, which improves speed and clarity.

This works well for permanent staff. Even more importantly, it supports communication with temps and hourly workers. These groups often work under more unpredictable conditions, so MyPlan improves coordination and responsiveness.

As a result, teams no longer rely on multiple Facebook groups, Messenger threads, or other social media channels for communication.

Once the planning phase ends, the organisation must communicate the roster to staff. In many places, teams still use paper printouts. However, printed plans quickly become outdated because changes occur regularly.

Therefore, planners must also communicate these changes to staff. They must ensure that all personnel receive the updated roster and that everyone stops using the old version.

With MyPlan, employees always access an up-to-date plan directly. In addition, they can view hours, vacation, and time off (Time Sheet Totals), all updated in real time.

MyPlan supports the full roster lifecycle by aligning employee involvement with the current stage of the plan. In the early phase, it helps collect requests and preferences – later it supports visibility, communication, self-service, and shift exchange – and in the operational phase it supports time reporting and attendance-related registrations. This creates a more connected planning process where employees can contribute in the right way at the right time, while planners keep control of the overall workflow

MyPlan can show employees demand- and capacity-related information for their person group, giving better visibility into staffing needs. This supports a planning environment where employees are better informed about where coverage is needed, which can help planners create stronger awareness around staffing pressure and available capacity.
